Carraway Computer Systems LLC can provide a bonded billing service as well as billing software.  This service provides a good way to achieve the "Separation of Responsibilities" which is often required by auditors and accountants.  It can also eliminate the need for trained computer operators at your utility office.  NOTE: The minimum charge for our billing service is $150 per month and we require a minimum one-year service contract commitment.

Our basic billing service works like this:

Transfers of lists, reports and data may be made via the Internet where possible.  Broadband Internet connections are preferable.  Modem-to-modem connections are used where the Internet is not available.  FAX transfers may be used for printed information if necessary.

1. CCS converts your existing data to our EasyBill 32 format.  You will pay a one-time data conversion fee of $995.  The minimum monthly fee for processing your billing accounts is $1.00 per account.  This fee includes the cost of billing cards and postage.

2. If needed, CCS provides a new meter reader's list each billing cycle.  If you have a remote data collector that can be interfaced with EasyBill 32, a data file will be provided for use with your data collector.

3. You provide CCS with your new meter readings.  If these readings are provided via a data file created by a remote meter reader system, the standard monthly fee remains at $1.00.  If you write your meter readings on a meter reader list and send or FAX them to us, an additional $0.50 per account will be charged.

4. CCS will process new meter readings, compute bills, check for possible errors, communicate need for re-reads, enter corrected readings, print bills and mail bills.

5. CCS will assess late charges when appropriate.  No additional fee is charged for this service.

6. You may provide CCS with customer payment information, or your customers may send their payments to CCS.  EasyBill 32 includes a special, easy-to-use remote payment entry module that can be used by you if you so choose.  If payments are sent directly to CCS from your customers, an additional $1.00 per payment will be charged.  If credit card, direct debit or bank draft payments are used, additional fees will be charged to cover these services.  Most banking service providers have their own fees for setting up and executing such transfers.

7. You will provide CCS with account update information such as name changes, address changes, meter change-outs, etc.  CCS will enter all changes into your database.  There is no additional fee for this service.

8. CCS will provide you with a copy of your updated database as often as needed.  You may want certain reports instead of, or in addition to, copies of your database.  There is no additional fee for this service.

For example, if CCS keys in the readings and receives the payments via cash or checks for 300 utility customer accounts, the monthly cost will be $750.00 ($1.00 X 300 minimum fee + $0.50 X 300 for keying readings + plus $1.00 X 300 for receiving payments).
